Cancelling an Appointment
If you are unable to attend an appointment, please contact Mindscape Psychology as soon as possible. We require at least
48 hours’ (2 days’) notice from you in order to avoid a Late Cancellation Fee. For Monday appointments, please notify the practice by 12pm (midday) on the Friday before your appointment in order to avoid a Late Cancellation Fee.
While it is your responsibility to ensure that you remember your booked sessions, we send an automated courtesy Appointment Reminder Text Message 72 Hours (3 days) prior to your allocated session time.
Giving 48 hours’ (2 days’) notice allows our wonderful Admin Team to try to fill your vacated appointment with another person from our Cancellation List or Waitlist, so that they do not miss out on an available spot.
Cancellation Fees
If you need to cancel or reschedule your appointment, please
give us at least 48 hours’ (2 days’) notice in order to avoid a
cancellation fee.
If less than 48 hours’ (2 days’) but more than 24 hours’
(1 day’s) notice is provided you will need to pay a Late Cancellation Fee of 50% of your session fee. This applies
to Monday appointments which are cancelled after
12pm on the Friday before the appointment.If you cancel within 24 hours of your appointment,
on the day of your appointment, or if you do not attend
your appointment without notice, you will be charged
100% of your consultation fee.If you cancel and we are able to rebook your session for
the same week, the Cancellation Fee may be waived,
at the practice’s discretion.
Frequent or regular non-attendance can result in Mindscape Psychology declining future sessions, and informing your GP
of your disengagement with psychological services.
Arriving Late to an Appointment
We suggest that you arrive a few minutes early to your appointment, in case you are required to complete forms. Please ensure you inform us at your earliest convenience of your expected arrival time if you believe you will be late.
If you do arrive late, your appointment duration will be shortened from the allocated 50 minutes in order to finish at the correct time. The full fee will be payable at the end of the session.
Subject to the discretion of your psychologist, if you anticipate that you will arrive more than 15 minutes late to your session, your session will be cancelled and rebooked to a future date. This is in order to comply with Medicare standards, which stipulate a 50-minute session time. In this event, you will be charged a Non-Attendance Fee.
